The Logistics of Staging an Event

As can be appreciated, considerable preperation is required to stage a sizeable Sealed Knot event. The following information gives some idea of the main considerations involved.

3.1Camping Facilities.

A small muster will require a level campsite of at least ten acres, with full toilet and water facilities (including suitable elsan disposal points) to the standards required by the local authority. In addition, full support and maintenance of these facilities must be provided for the duration of the campsite's operation. A large muster will require a minimum of twenty acres. The provision of providing overflow camping facilities should also be considered. A suitable seperate area will normally be required for the keeping of cavalry horses, if attending.

3.2Battlefield.

A small muster battlefield requires an area of approximately five acres. A larger event will usually entail an area of at least ten acres. The battlefield area must be cordoned off with a double rope barrier. The safety distance between the two ropes should be twenty feet.

Areas with a good view of the battlefield will be required for the commentary box and Sealed Knot Medical Services. A safe area for non-combatant Sealed Knot members and their children under 16 is required adjacent to the battlefield.

Adequate adjacent space must be allocated for the general public to view the event. Care must be taken to ensure that all members of the public are given an unobstructed view of the battle. Natural features often provide an 'amphitheatre' and tiered seating is sometimes used by htte promoters. Substantial public car-parking facilities are usually required. It is recommended that these are not adjacent to the battlefield and public viewing areas.

3.3Public Access.

For reasons of security, it will be necessary to obtain temporary closure orders of any footpaths or public rights of way which may lie across the proposed campsite and battlefield. The period of closure must be for the duration of the entire muster, not just for the actual battles.

3.4Props.

Props may be required by a muster organiser, such as straw bales, wooden stakes, brushwood, foliage etc.

3.5Public Address Systems.

At larger events a full public address system will be required for use by qualified Sealed Knot commentators. The specifications of the PA equipment will vary according to the area of field to be covered.

3.6Deposit.

A deposit of 20% of the total monies agreed (non-returnable) is normally required on agreement of the contract.

3.7Advertising.

Advertising will be the responsibility of the promoters, however, the Sealed Knot will provide help and advice on request. See Section 2.5 for further details.

3.8Public Facilities.

The promoters are responsible for providing public facilities such as toilets, water and first aid points.

3.9Public Liability Insurance.

Although the Sealed Knot is fully insured against third party risks, the promoters must have their own Public Liability Insurance.

3.10Inclement Weather Insurance.

Inclement weather insurance should be considered by the promoters.

3.11Collection of Entrance Fees.

Collection of entrance fees and the operation of gates and pay kiosks are the responsibility of the promoters.

3.12General Legal Requirements.

Promoters are ultimately responsible for ensuring that the event complies with the law of the land, including Healthg & Safety legislation and licensing regulations.

Our experience has shown that to make an event a success, the promoter will usually have to spend an amount of money equal to the amount specified in the Sealed Knot ontract..
